ID#0940A - Administrative duties (word processing, phones, memos, etc.); organizing client's charts, ordering office supplies; other duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Collect rents for all residents living in Hamlin RRR/Doris Foster and provide client with a copy of rental receipt. Make copies of checks/money order and submit to either the Center's Fiscal Department or Genessy Property Management.
 
Assist clients in the completion of Doris Foster Applications, maintain copies and submit to Genessy Property Management. Act as an additional liaison between the RRR Program and Genessy Property Management.
 
Submit and track all maintenance requests for Hamlin RRR/Doris Foster.
Purchase supplies for Doris Foster (mattresses, bed bug covers, cleaning supplies, furniture, appliances, etc.).
Perform and track monthly safety inspections/reports at Doris Foster. This requires field visits to the Doris Foster property site located in Van Nuys.
Act as the Program's safety representative.
Collect and make copies/assist residents of Doris Foster with paying their monthly utility bills. Submit to Genessy Property Management and maintain record for the Housing Authority if needed.
 
Collect, log and track all security deposits for Doris Foster and submit to Fiscal Department as required and or Genessy Property Managemen
Maintain spare keys for Doris Foster.
Collect and make photo copies of clients CADL, vehicle registration, and insurance if consumer is parking a vehicle at Hamlin RRR/Doris Foster.
Coordinate with PM, Admin, Maintenance or Genessy Property Management any need for outside vendors to spray/inspect or otherwise treat our transitional living houses for rodents/insects/bed bugs.
Act as the Program's HIPPA representative and attend all required meetings.
 
Monitor, track and coordinate all Program Vehicles. Hold/issue vehicle keys to staff as approved by Program Manager, maintain copies of gas receipts, maintain copies of mileage logs, coordinate maintenance of vehicles, maintain vehicle registrations/insurance.
 
Provide backup reception coverage as needed.
 
Provide backup coverage for Money Manager as needed.
 
Other duties as assigned by Program Manager as needed.


Qualifications
MINIMUM REQUIREMENTS:
High school diploma required.
 
Minimum two (2) years general office experience, working in the mental health field preferred.
ADDITIONAL REQUIREMENTS:
Must act in accordance with all Health Insurance Portability and Accountability Act (HIPAA) of 1996 and related state law confidentiality requirements. Must successfully complete the Center's HIPAA training, pass the HIPAA test, and receive the Certification of Compliance.
Regular attendance is an essential function of the job.
Interacting with other employees at work is an essential function of the job.
Arriving at work on time and not leaving early is an essential function of the job.
Computer literate.
Excellent communication skills. Ability to communicate with various agencies and governmental offices, staff and client.
Typing 55wpm minimum. Bilingual Spanish a plus.
Must pass Department of Justice Fingerprint Clearance. A Valid California Driver's License is required. Must meet guidelines of agency's driving criteria (i.e. Proof of liability insurance, minimal moving violations, driving record free of DUl's or reckless driving in the last 3 years, etc.), and maintain the criteria as per company policy at all times.
